Overview
Store contracts securely and request missing documents within the team
The Documents & Contracts area combines a central contract repository with an internal request workflow. Completed contract files are assigned to a project, supplemented with the key contract details and shared specifically with people or teams. If a document is still missing, you can first create a document request and assign it to the responsible person.
The three building blocks
| Area | What it is used for |
|---|---|
| Contracts | Store completed files by project, download, edit, filter and evaluate them |
| Document requests | Record internally which document is needed, who should provide it and by when |
| Contract modules | Make reusable templates or text modules available centrally |
A document request is not yet a contract. It first collects the assignment, responsibility and preparatory information. When a file is uploaded through the request, Artwork creates a contract, links it to the request and changes the request to Completed.
Typical workflow
Manage contracts
Upload files, maintain contract details, link projects and CRM contacts, and create tasks.
Document requests
Create, assign, edit and complete requests, and track their status.
Access, modules & export
Control visibility, provide contract modules, filter lists and create Excel exports.
Where do the documents appear?
The Contracts page is your permission-based overall view. Project-related contracts can also appear in the document/contract area of the respective project. Clicking the project name in the contract list takes you directly to that project.
Which contracts you see depends on their sharing settings: your own contracts and documents shared with you personally or through one of your teams are visible. Administrators can see all contracts.
Internal workflow
In the current interface, document requests are assigned to internal Artwork users or created without an assignee for the time being. They do not send an external upload link to a contract partner. External details can nevertheless be taken from and displayed through a linked CRM contact.
No professional assessment
Fields such as artists' social security, foreign withholding tax or reverse charge support filing and evaluation. Artwork does not determine whether a legal or tax obligation applies and is no substitute for professional advice.
