Inventory System

Material sets

Prepare recurring article collections and use them in material issues

Under System → Material sets, you manage reusable collections of inventory articles. This area is deliberately separate from Inventory settings: users can maintain sets without permission to change categories, properties, or statuses.

Create a set

A material set stores a name, optional description, and articles with standard quantities—for example “small press conference”, “DJ setup”, or “mobile workshop”.

Open System → Material sets and create a new set.
Enter a clear name and a useful description.
Search or filter articles and add them.
Adjust each standard quantity and review the selection.
Save and test the set in a sample material issue.

Use a set

When inserted into a material issue, articles and quantities become a starting point. Period, availability, project, and recipient are defined in the concrete issue. Adjust quantities there when the individual case differs from the standard.

A set is therefore neither a reservation nor a stock change. Stock is only occupied for a period by the saved material issue.

Edit or delete a set

Update a set when the usual equipment changes permanently. Existing material issues are not changed retroactively. Before deleting a set, clarify whether teams still rely on it as a standard.

Set, basket, or copy?

ToolBest for
Material setRecurring standard equipment across many issues
Product basketOne-off personal selection directly from the catalog
Copy issueReusing one specific earlier issue as a starting point

Use clear names and keep the number of sets manageable. Several nearly identical names make selecting the wrong standard more likely.
