Overview
Understand personal tasks, shared checklists, and templates
The To-dos sidebar entry combines every checklist and task relevant to you. Checklists can stand alone or belong to a project and a particular project tab. Tasks from funding sources appear in an additional section.
Checklist and task
| Concept | Meaning |
|---|---|
| Checklist | Named collection of related tasks |
| Task | Individual action with description, deadline, assignees, and completion state |
| Private checklist | Visible only to its creator |
| Shared checklist | Visible to assigned people or within its project context |
| Checklist template | Reusable starting point with tasks and relative deadlines |
Where tasks appear
- To-dos shows checklists assigned to you or containing at least one task assigned to you.
- A project shows the checklists in its configured checklist component.
- Funding-source tasks appear below your checklists and link to the corresponding funding record.
- Notifications can link directly to a temporarily highlighted task.
A public checklist does not automatically appear for everyone. It becomes relevant in a personal view when the person is assigned to the list or a task.
Typical workflow
Checklists & Tasks
Create lists, assign tasks, maintain deadlines, complete, move, and collaborate.
My To-dos
Search, filter, sort, and switch between list and Kanban views.
Checklist Templates
Prepare recurring task sequences with relative deadlines centrally.
Permissions and project access
Editing a project checklist depends on component access, project write access, and project role. Additional permissions govern general checklist use and editing or deleting other people's lists. Assignment makes a task visible but does not grant write access to all other project data.
