Manage freelancers, service providers, contacts, and team memberships

Find freelancers and service providers

The Freelancers & Service Providers tab contains external individuals and companies. Search by name and filter for all available addresses, freelancers only, or service providers only. Sorting is saved for your view and can be reset.

Select New and choose the type:

  • A freelancer initially needs only first and last name. Complete the remaining data on the profile.
  • A service provider initially needs a company name.

Neither type receives an Artwork login.

Freelancer profile

Depending on permission, a freelancer has these tabs:

  • Operation plan, including availability, absence, and temporary employment,
  • Personal data, including image, name, company, position, email, phone, address, and note,
  • Terms, including hourly pay and additional notes,
  • Work profile, including schedulability, crafts, and qualifications.

For a freelancer to be offered in suitable shifts, schedulability, crafts, and required qualifications must all match.

Service-provider profile

A service provider is held as a company. Company data contains company name, image, address, email, phone, and notes. You can also create, edit, or remove several contacts with first name, last name, email, and phone.

Depending on permission, other tabs provide operation plan, terms, and work profile. The service provider appears as the schedulable unit; its contacts support communication and are not treated as individual shift workers.

Delete external records

Delete freelancers and service providers from their list action menus. First review shifts, availability, contacts, and other links. Deleting a service provider affects the company record; remove a single contact directly from the company profile instead.

Understand teams

Teams represent departments or work groups. Names and icons identify them in people lists, projects, and selections. One person may belong to several teams.

Membership is more than visual: users can gain access to projects assigned to their team. It does not automatically replace all global permissions or project-specific roles.

Create and edit a team

Open a new team from the Teams tab.
Choose a clear icon and an unambiguous team name.
Use person search to add the first members.
Create the team and open its profile.
Change its name, icon, and members when required.

The team profile lists members and their positions. Remove individual people or add others through Edit team. Conversely, user profiles provide Edit team membership and Remove user from all teams.

Empty or delete a team

  • Remove all team members keeps the team but removes every membership.
  • Delete team permanently removes the team itself.

Both require confirmation. Before deletion, check whether projects or other processes still use the team as a responsibility.

Team, craft, and project role are different

A team describes organisational membership, a craft describes professional schedulability, and a project role describes a function in one specific project. They often align, but each grants different visibility and actions.
