Overview

Distinguish internal accounts, external workers, teams, and permissions

The Users area manages more than people with their own login. It also brings together freelancers, service providers, teams, permissions, and work-related data. Artwork uses this information in projects, shift plans, checklists, access assignments, and notifications.

Three types of record

Creating a freelancer or service provider does not grant access to the application. An internal account is created through an invitation followed by registration by the invited person.

Visible tabs and actions depend on your role. Teams require team-management permission, while presets and full account administration are reserved for administrators.

Typical internal-user workflow

Invite one or more email addresses and prepare their teams, role, and permissions.
The invited person completes their name, contact details, and password.
Review personal data and team membership.
Maintain work profile, crafts, qualifications, work pattern, and contract.
Grant only the permissions required for the person's actual work.
Review their operation plan, work times, compensation days, and overtime when needed.

Connections to other areas

  • Team membership can affect visibility in projects assigned to that team.
  • Crafts and qualifications determine where a person is offered and can be assigned in the Shift Plan.
  • Work patterns, contract rules, absences, and compensation days contribute to target hours and rule checks.
  • Roles and permissions control not only menu entries but also individual actions inside an area.

Handle personal data carefully

Contact details, pay, contract values, and time accounts may be sensitive. Grant management permissions only to the responsible people and use the private switches for email and phone when they should not be generally visible.
